- We saw that it was a cost that we needed to channel through a tool, and integrating a system support for consultant purchases with our existing purchasing system felt obvious because we want one way in to all purchases. Coop Sweden already uses Proceedo to manage its internal purchases of store equipment and consumables.
Employees in Coop's stores make all purchases via Proceedo. All centrally agreed suppliers are gathered there and all products are categorized according to each store concept.
The solution has not only made everyday life easier for employees who save time when they do not have to call around or email suppliers, but has also allowed Coop to save money by keeping the number of suppliers and products down.
We have been using Proceedo since 2011, and have developed it more and more over the years. Now all stores are connected, and everyone orders their consumables and maintenance products through the system. What we have been missing is a solution for purchasing consultants.

Consultant purchases in the same system
The grocery trade is constantly and rapidly evolving, and Coop is investing a lot of resources in ensuring that the company can meet customers' growing need for digital services.
- "We have made major changes in recent years and will continue to do so to keep up with the tough competition in the market," says Martin Hansson.
One of the challenges for Coop is to find the right expertise to continue to drive development, not least in IT, one of the areas where it uses a lot of consulting services. And with large purchasing volumes, a system is needed that can facilitate and streamline the process.
Although Coop has long steered its consultant purchases towards centrally agreed suppliers, this has been done through a manual process that has been inefficient and time-consuming.
- This is true both for the business and for us as a purchasing department. We've been looking over the last two or three years at expanding the functionality around service purchasing. We saw that it was a cost that we needed to channel through a tool," says Martin Hansson.
The solution
Proceedo + Vakanta, the best solution
Coop looked at several different suppliers and solutions, but was attracted to the possibilities of expanding its existing purchasing system from Proceedo through an integration with Vakanta. Among other things, they saw a better opportunity to challenge their suppliers and ensure good prices.
- If you can manage consultant purchases in the same tool you are already used to working with, and collect everything via one way in, there is a lot to gain from it. This is a way to get a clearer overview of purchases, steer towards the right suppliers and become efficient both in terms of time and price," explains Martin Hansson.
Better transparency, clearer follow-up
With Proceedo + Vakanta, Coop gets a purchasing system that can collect all costs in a clear way, in one place. There is no need to search for information and data in several different systems and the increased transparency makes it easier to have a good and effective follow-up of projects.
- "Follow-up is very important to us. On the one hand, we can see costs over time, of course, which is good in our internal forecasting work, but also in terms of budget and cost center. The individual client can see the costs and accruals for the consultants they have," says Martin Hansson.
Coop has set up a number of control points that make cost control easier. Among other things, how consultants report their hours worked - directly in the system.
- "Previously, when we received an invoice, in the worst case we had to request an hourly report afterwards. Here we have the accounting proactively from the start. So it's a good tool, not just for purchasing.
Plans for more functionality
In the long run, Coop plans to connect its central HR system with Proceedo to get a more efficient and smoother on and off boarding of consultants, with automatic activation / deactivation of accounts for login, withdrawal of equipment such as phones and computers, and more.
- This way, we avoid unnecessary costs that continue to accrue for completed consulting assignments. And we reduce the IT risk of having users in our systems who are no longer contracted," says Martin Hansson.
He sees that Coop Sweden will continue to develop together with Proceedo.
- "We have a long relationship together and have always had a good dialog with Proceedo, and that is the most important thing to be able to continue to drive development," he concludes.
